Connect your Gmail or Google Workspace mailbox

Matter Leads sends outreach from your own Gmail or Google Workspace inbox — never a shared pool everyone draws from. That has one obvious upside: replies land exactly where you already work. It also means your sending reputation is yours alone, so it's worth protecting from day one.

Why your own inbox

There's no shared sending infrastructure standing between you and the businesses you're reaching out to. Every message goes out under your address, so a reply shows up in your inbox like any other email, and the person on the other end is emailing a real account, not a no-reply address.

Create an app password

Google requires 2-Step Verification to be turned on before it will issue an app password. Once that's enabled on your account, open the App passwords page, generate one for Matter Leads, and copy the 16-character code it gives you. This code is separate from your regular Google password — it exists specifically so an app can send on your behalf without knowing your real credentials.

Add the mailbox

In Settings → Mailboxes, enter the address, a display name, and the app password, then save. Matter Leads verifies the connection live — if something's off, such as an incorrect code or 2-Step Verification not being enabled, you'll know immediately instead of finding out later when a message silently fails to go out.

Why new mailboxes warm up gradually

A brand-new mailbox doesn't start at full volume. It sends around 5 messages a day at first and ramps up toward roughly 40 a day as it builds a track record with inbox providers. This is protection, not a limitation to work around — mailboxes that jump straight to high volume are exactly what spam filters watch for, and warmup is what keeps yours out of that pattern.

Daily caps and auto-pause

Each mailbox also has a daily sending cap, and it will pause itself automatically if bounces climb above 5% or spam complaints go above 1%. Both are early warning signs of a list or message problem, and pausing stops it from getting worse while you look into it.

Pausing a mailbox

You can pause a mailbox yourself at any time — useful if you're stepping away or want to hold off on new sends. A paused mailbox keeps receiving replies the whole time, so nothing from an existing conversation gets missed.

Multiple mailboxes

On higher plans you can connect more than one mailbox, and Matter Leads spreads volume across them automatically. This is mainly a way to scale sending without pushing any single mailbox past a healthy pace, not a way around warmup. Before your first real send, make sure your sending domain is verified — a healthy mailbox still needs a healthy domain behind it.
