Who we are
Matter Leads is operated by Matter Development, based in Casablanca, Morocco. You can reach us at [email protected] for any question about this policy or about data we hold.
What we collect
Account data: your name, email address, workspace name, and the members you invite. This is what identifies your account and controls who can see what.
Mailbox connection data: the OAuth tokens or credentials you provide so we can send on your behalf, plus the sending domain you authenticate. We never ask for your mailbox password.
Lead data: information about the businesses you discover through the product — names, public contact details, website addresses, and the audit results, scores, and generated mockups we produce for them.
Outreach data: the messages drafted and sent from your account, their delivery outcomes, replies received, opt-out requests, and the deliverability metrics computed from them.
Usage data: standard server logs, including IP address, browser type, and the pages requested. We use these to keep the service running and to investigate abuse.
What we do not collect
We do not read, index, or train on the contents of your mailbox beyond the messages sent through Matter Leads and the replies to them.
We do not sell lead data, outreach performance, or any other customer data to anyone, and we do not share it between workspaces.
Why we process it
To provide the service you signed up for: finding leads, auditing sites, generating mockups, sending outreach, and reporting on outcomes.
To protect sending reputation — yours and other customers'. Warmup limits, sending caps, bounce suppression, and the compliance gate all require processing delivery outcomes.
To meet legal obligations, including honouring opt-out requests and retaining suppression lists so a person who opts out is not contacted again.
Sub-processors
We rely on third parties to operate: cloud hosting and databases, email delivery infrastructure, AI model providers used to draft copy and generate mockups, web-search providers used to enrich leads, and a payment processor for billing.
These providers process data on our instructions only. We will keep a current list available on request, and we will give notice before adding a sub-processor that materially changes how your data is handled.
Where data is stored, and for how long
Data is stored on infrastructure located in the European Union and the United States, depending on the provider.
Account and workspace data is kept while your account is open. If you close your account, we delete or anonymise it within 30 days, except where we are required to keep records for tax or legal reasons.
Suppression records — the addresses and phone numbers that have opted out — are kept indefinitely by design. Deleting them would let someone be contacted again after asking not to be, which is the outcome the record exists to prevent.
People you contact
When you use Matter Leads to reach a business, you are the controller of that contact and you are responsible for having a lawful basis for it. We process that data on your behalf.
Every message sent through Matter Leads carries a sender identity, a physical address, and a working unsubscribe mechanism. Opt-outs are applied immediately across your workspace and cannot be overridden.
A recipient who wants their data removed can contact us at [email protected] and we will remove it and inform the customer who contacted them.
Your rights
You can request a copy of your data, correct it, export it, or have it deleted. If you are in the EU, UK, or a jurisdiction with comparable law, you also have the right to object to processing and to lodge a complaint with your supervisory authority.

Security
Data is encrypted in transit and at rest. Mailbox credentials are stored encrypted and are scoped to sending only. Workspaces are isolated from one another at the database level, and access is limited to the members you invite.
No system is perfect. If we discover a breach affecting your data, we will tell you what happened, what was affected, and what we are doing about it, without unnecessary delay.
Changes
If we change this policy in a way that materially affects you, we will notify account holders by email before it takes effect. The date at the top of this page always reflects the current version.
